Telegram Bot for a Car Service: Online Booking and Reminders

The owner of a car service with 2 to 6 bays hears the same calls every day: when to bring the car in, whether there is room on the lift, what is going on with a part, and how much longer to wait. A Telegram bot for a car service takes this routine off their hands: it books clients based on make, year and type of work, reminds them about the next maintenance based on mileage rather than the calendar, and shows repair status without a single call to the mechanic. Below is how this works in practice, at which steps the bot saves the most time, and how many hours a week it actually gives back to the administrator.

Telegram Bot for a Car Service: Why Booking Is Harder Than at a Beauty Salon

Booking a haircut or a manicure is simply a matter of time and a specialist. Booking a car service is more complex: to know whether a car fits into the schedule, you need to know the make, year of manufacture, engine volume and type of work. Replacing brake pads on a Chery Tiggo takes 40 minutes, while the same job on a Land Cruiser with air suspension takes 2 hours. If an administrator books clients into a plain calendar without this data, slots keep slipping and the queue grows.

The bot solves this with a sequence of clarifying questions. First the make and model, then the year and engine type, then the specific problem or type of work: routine maintenance, diagnostics, suspension repair, tire service. Based on these answers, the bot reserves not just 'time' but 'time plus bay type': a standard lift, a wheel alignment bay, or a separate bodywork bay. A client cannot book a slot that physically does not fit their car.

For a service with 4 bays, this means fewer overlaps and fewer situations where a client arrives and the right lift or mechanic is not available. In practice, the right clarifying questions at booking cut the number of rescheduled appointments roughly in half, and the administrator stops manually reshuffling the schedule every morning to deal with last minute surprises.

A Car Profile Instead of a Client Profile

In a classic CRM, the main entity is the client. In a car service it makes more sense to track by vehicle: an owner may sell the car and buy a new one, while the service history stays tied to the specific vehicle. The bot creates a car profile with the VIN, current mileage, make, year and a full list of completed work and replaced parts.

This gives the mechanic instant context even before the client arrives: when the oil filter was last changed, what the mileage was at the last service, which parts are already due for replacement. There is no need to flip through a paper log or call the previous mechanic to remember what was done three months ago.

When a car is sold, the profile does not disappear. The new owner simply links their phone number to it in the bot, and the entire service history remains accessible, including photos of the work performed. For a car service, this is an extra selling point: the client sees a transparent history and trusts the shop more than one where every record starts from zero and the car's condition has to be recalled from memory.

Reminders Based on Mileage and Date

The next maintenance is usually scheduled after 10,000 kilometers or 6 months, whichever comes first. The bot keeps the date of the last service and the mileage at that point in the car profile, then calculates when the client should be reminded.

Besides routine maintenance, the bot tracks seasonal reminders: tire changes in spring and fall, insurance policy expiration, timing belt replacement by mileage or years in service, and battery replacement before winter. Each reminder reaches the client on Telegram 1 to 2 weeks before the due date, with a button to book a convenient time right away, so the client does not forget and does not put it off until the last moment.

The bot does not calculate the reminder moment from an average mileage across all clients, but individually: if the mileage was 45,000 km at the last service, and 4 months later the client came in for a minor repair with 52,000 km on the odometer, the bot recalculates the average daily mileage and moves the next reminder date earlier than originally planned. For taxi drivers or couriers with high daily mileage, this is a difference of several weeks, and without this recalculation the reminder would arrive too late.

Repair Status Without Phone Calls

The most common call a car service gets is 'so what is going on with my car'. The bot closes this gap with statuses right in the chat: 'car in diagnostics', 'waiting for a part', 'repair in progress', 'ready for pickup'. Every status change is an automatic message to the client without any administrator involvement.

When a mechanic finds a problem area, say a crack in a ball joint or a worn clutch disc, they take a photo or a short video and send it straight into the bot. The client sees the problem with their own eyes instead of taking someone's word for it, which cuts down on disputes and follow-up questions.

Approving additional work also moves into the chat: the bot sends a description and the price, and the client taps 'approve' or 'decline'. Instead of ten calls back and forth throughout the day, it is one message and one button, and the mechanic sees the client's decision immediately, without waiting for a callback during a break.

Returning Clients and Reviews

Reminder and follow-up calls take up an hour to an hour and a half a day on average for a mechanic or administrator at a 4 to 5 bay car service. That is time that could go toward clients already waiting in line instead of calling around to people who are still deciding.

After the car is picked up, the bot sends a short 2 to 3 question survey: was everything satisfactory, was the pricing clear, will the client come back. Below average ratings are immediately flagged to the administrator so they can react before the client goes to a competitor.

A bot like this does not replace a mechanic and does not solve technical issues, but it does take over the routine of booking, reminders and statuses, the same work that used to be done by hand, only slower and with more errors from the human factor.
