CRM for Ukrainian Business in Czechia: Clients and Sales

Ukrainian business in Czechia grows every year: IT freelancers, workshops, online stores, construction crews, beauty salons and hairdressers. Yet most owners still manage clients in Google Sheets or Viber chats, losing leads and mixing up prices in korunas with calculations in hryvnias or euros. A CRM for Ukrainian business in Czechia solves exactly these problems: it logs every client and every request, counts sales in Czech koruna, works with local postal services and stores IČO and DIČ details. Here is how such a system looks in practice and how it differs from an ordinary foreign CRM.

CRM for Ukrainian Business in Czechia: Why Generic Templates Do Not Work

A typical picture for a Ukrainian entrepreneur in Czechia: leads arrive through Viber, WhatsApp, Instagram and email, clients are stored in a notebook or spreadsheet, and invoices are issued manually at the last moment. Some clients are Czech speaking, some Ukrainian speaking, so correspondence runs in two languages at once with no single template. As a result some clients get lost, payment is delayed, and the owner does not see the real picture of monthly sales.

Ready made foreign CRMs like HubSpot or Pipedrive formally cover basic needs, but they invoice in euros or dollars while the entrepreneur's income is counted in Czech korunas. Adding Czech postal services, local payment methods or a field for IČO to such a system is often impossible without expensive custom work, and the interface and email templates are built for a completely different market.

A CRM built for a specific sales process solves this differently: the system is built around how the business actually works in Czechia, from the first message in a messenger to payment and closing the deal. The owner gets exactly the fields, statuses and reports needed for daily work, without extra functionality and without paying for modules nobody uses.

Sales, Orders and Reports in Czech Koruna

The base currency of such a CRM is the Czech koruna (CZK), not euros or hryvnias. Service pricing, product cost, discounts for regular clients and invoice totals are all calculated directly in korunas, without manual conversion or confusion between different bank exchange rates.

For example, for a beauty studio or workshop the CRM keeps a service price list in korunas, automatically applies a discount for a regular client and generates a booking summary with the final amount due. For an online store the system calculates the order total together with delivery and shows the manager the exact amount the client needs to pay in cash to the courier or by bank transfer.

Payment in Czechia most often goes through a bank transfer with a variable symbol, a QR payment, or a local payment gateway such as GoPay or Comgate. The CRM marks an order as paid as soon as funds arrive, matching the amount and variable symbol to a specific client, and the owner sees a sales report for the day, week or month directly in korunas, which simplifies reconciliation with the accountant and tax reporting.

Delivery via Zásilkovna, Balíkovna and Packeta Without Manual Routine

Ukrainians selling goods in Czechia most often ship orders through Zásilkovna parcel lockers, Balíkovna of the Czech Post, or the Packeta courier network. This is the main delivery channel for small business, so the CRM has to work with it directly instead of forcing a manager to manually copy addresses and shipment numbers.

When an order moves to the status Ready to Ship, the CRM generates a waybill for the chosen service, pulls the address of the nearest parcel locker or pickup point and stores the tracking number in the client card. The client automatically receives a delivery status update in Czech or Ukrainian, depending on which language was used with them before.

For a workshop or small store this means less manual work and fewer address errors, and for an owner working with several delivery services at once, the CRM shows all shipment statuses in one window: what has already been handed to the client, what is waiting at a locker, and what is delayed in transit. If a parcel is not picked up for several days, the system reminds the manager to contact the client before the shipment is returned to the warehouse.

IČO, DIČ Details and Invoices for Czech Business Partners

To work with Czech companies and government institutions, every client or supplier needs correct details: IČO (company identification number) and, for VAT payers, DIČ. Without this data it is impossible to correctly issue a faktura, the Czech style invoice, and an error in the number can mean a returned document and a payment delay of several weeks.

The CRM stores IČO and DIČ in each partner's card together with the legal address and bank details, and automatically fills them into invoices without searching through old correspondence or papers. This matters especially for OSVČ (sole traders) in Czechia who issue dozens of invoices a month and cannot afford a mistake in a partner's details.

The system separates clients into individuals and companies: for a private client a name and phone number are enough, while for a legal entity the CRM immediately requires an IČO and generates an invoice under the rules used for B2B deals in Czechia. This removes the confusion of trying to use one invoice template for completely different types of clients.

Bilingual Work with Czech and Ukrainian Clients

Ukrainian business in Czechia serves two audiences at once: local Czech speaking clients and the Ukrainian diaspora, who often prefer communicating in their native language. The CRM keeps a note in the client card about their preferred language and automatically applies the right template for messages, invoices or booking reminders.

Booking reminders, order confirmations or delivery status updates can be sent through a Telegram bot connected to the same CRM: a Czech speaking client gets a message in Czech, a Ukrainian speaking one in Ukrainian, without a manager manually switching between templates and languages. The same bot can accept new leads right away, pull them into the CRM and create a client card marked with the preferred language.

At Devlly such tasks are handled by building CRMs, Telegram bots and parsing solutions with exact Czech realities in mind: korunas, IČO and DIČ, local postal services and bilingual communication. The system is built around the specific sales process of the business, rather than adjusted from a ready made template built for a different market.
